Summary:
The GME Manager provides leadership and responsibility for the day to day operations of the institutional and family medicine residency program, management of ongoing accreditation activities to ensure timelines are met, and administrative duties required for the department.
Under the direction of the Family Medicine Residency Program Director and the Designated Institutional Official (DIO) the Administrator of Graduate Medical Education assists with ensuring compliance with the requirements of the Accreditation Council of Graduate Medical Education (ACGME) and American Board of Family Medicine (ABFM).
The Administrator of Graduate Medical Education will oversee resident recruitment, onboarding and orientation of the new residents.
In addition, this position provides administrative support to the Program Director, Resident Physicians and Hospitalist Program The Administrator of Graduate Medical Education acts as the central overseer between faculty, attending physicians, residents, medical students, and the residency program clinical practice, other institutional departments, and regulatory authorities.
Essential Functions:
Provides dyad leadership with Medical Director, Family Residency Program overseeing Family Medicine Residents.
Responsible for administrative oversight of evaluations, license verification, in-service examinations, payroll, regulatory requirements.
Responsible for scheduling and administrative oversight of clinical rotations in multiple clinical areas including, but not limited to, Open Door Community Health Clinics, St.
Joseph Medical Group Clinics, St.
Joseph Hospital, UC Davis, community providers.
Is the main contact for communication with Accreditation Council for Graduate Medical Education (ACGME), the accrediting body of the residency and St.
Joseph Hospital - Eureka as the sponsoring institution.
Supports and submits timely communication with the ACGME.
Tracks compliance with regulatory requirements and assists Medical Director and Faculty in response to deficiencies.
Supports Designated Institutional Official (DOI) in ensuring compliance with ACGME requirements for a sponsoring institution and in arranging CLER (Clinical Learning Environment Review) site views and responses to evaluation.
Provides direct oversite of Administrative Assistant.
Assists Residency Program Director in coordination of all activities - schedules, lectures, interviews, conferences, orientation.
Maintains knowledge of ACGME requirements for sponsoring institutions, Family Medicine Residency Program, and future residency programs or fellowships.
Oversees medical students who participate within the program through COMPADRE or through direct relationship with medical schools.
Coordinates daily operations within the Family Medicine Residency Program including 12 - 18 resident physicians, Program Director, Associate Program Director, Core Faculty, Adjunct Faculty, volunteers and hospital personnel who may provide lectures or other services.
Manages employees performing related duties including full human resources, cost and financial responsibilities.
Develops budget with support of Chief Financial Officer and with Residency Program Director, has budget accountability for the department.
Involved in recruitment of residents.
Oversees resident's compliance with department policies and procedures.
Identified pattern of problems, and recommends solutions to reoccurring issues, solutions are based on available information and consultation with colleagues/upper management.
Identifies Grant opportunities and participates in grant writing.
Oversees tracking of resident's duty hours, attendance, compliance and mandatory education (HealthStream's), evaluations.
Implements software and works with faculty to obtain evaluations of the residents.
Skills:
Demonstrated working knowledge of the unique issues of graduate medical education including residency program accreditation regulations, residency certification standards and licensure laws.
Experience and skills in resource planning and scheduling.
Self-motivated with demonstrated ability to take initiative, prioritize work, manage time and respond effectively to rapidly changing environment.
Proficiency in the use of personal computers, Microsoft Office programs, and web based databases and scheduling programs.
Ability to communicate positively, effectively and professionally on an interpersonal and technical level both verbally and in writing.
Minimum Position
Qualifications:
Education:
Bachelor's degree or equivalent years of experience, 6 years of related experience and 4 years of leadership experience.
Experience:
Previous healthcare, sales, marketing, or recruiting background is preferred with specific knowledge of the medical/physician community.
Computer Skills:
